Owner Dependence - HVAC
-
Dispatch automation — ServiceTitan assigned new service calls to available technicians based on location and skill set, without the owner making a single call
-
Automated invoicing — completed jobs triggered invoices instantly through QuickBooks, cutting the billing cycle from 9 days to same-day
-
Technician scorecards — weekly performance reports went to each tech automatically, so the owner wasn't delivering feedback manually
-
Customer follow-up — a post-job text sequence went out after every visit asking for a Google review and flagging any unhappy responses for a human to handle making calls.
3 hours of daily operational firefighting reduced to a 20-minute morning review.
With a simple automation stack — work orders in a field service tool like ServiceTrade or Jobber, tied to QuickBooks via a direct integration — completed work orders trigger draft invoices automatically, approval routing goes to the right contact without anyone touching it, and payment reminders go out on a set schedule without a phone call.
Scheduling - Painter
When a painting job gets booked, the system automatically looks at which painters are free that day and sends each one a text with the job address and start time. If a painter calls out sick, the owner types one message and the system finds the next available person and updates the schedule. No phone tag, no whiteboard, no missed messages. The right people show up to the right job — without the owner spending their morning making calls.
RFPs - Fire Sprinkler Contractor
1. Intake Automation. AI tool receives RFP from various sources, pulls out the key info- and logs into central bid tracker
2. Bid/no-bid scoring. Scoring model flags each RFP against preset criteria. Low-scoring RFPs get a polite automated decline sent to the GC. The team only sees bids worth pursuing.
3. Scope extraction. Tools can read a spec section or drawing set and pre-populate an estimate template. Estimator starts with 70% of estimate done.
4. Proposal generation. Once estimate is approved, the proposal packet is generated tied to the data. Formatted, on-brand, ready to submit.
When a lead comes in from any source, it's automatically logged, scored by neighborhood and job type, and assigned to the closest available rep with a notification sent instantly. The rep gets a pre-built route to the address and a templated inspection checklist on their phone. After the appointment, a follow-up sequence starts automatically — an email the same night, a text two days later, a call reminder for the rep on day five. If the estimate is opened but not signed, a second nudge goes out. If the lead goes cold after 30 days, it drops into a reactivation list for storm season.
